Q1. What is the workshop proposal submission deadline?

Q2. What workshop topics are of interest?

Complementing the main technical program, HiPC workshops serve to broaden the technical scope of the conference in emerging areas of high performance computing, networking, data analytics, and their applications. The HiPC workshops serve as an extended forum to present and discuss work-in-progress as well as mature research among researchers from around the world and also highlight research activities in India.

Q3. Where should one submit a workshop proposal?

Workshop proposals should be sent to the workshop co-chairs directly via email:  [email protected].

Q4. How long can a HiPC workshop be?

Workshops should be proposed for half-day (3-3.5 hours) unless the organizers have reason to believe they can develop a full-day program (6-7 hours), in which case, they should explain why they believe they can attract sufficient participation to present a full day program of peer-reviewed papers and/or invited talks.

Q5. What format should the workshop have?

Workshops may take one of two formats:

  • Mini-conference style, including peer-reviewed contributed papers and optional components such as keynote, invited talks, poster sessions, and panel discussions.
  • Symposium style, focused on interactive sessions without formal proceedings, emphasizing deeper engagement and focused discussions.

Q7. How to create a submission portal for workshop submissions?

Please follow the steps given at https://easychair.org/installation for creating a submission portal. You can edit the settings as you like, e.g., inviting PC members.

HiPC has a license with EasyChair. Contact EasyChair and let them know that you are a workshop co-located with HiPC.

Q8. What is the submission deadline for workshops?

HiPC will have the same deadlines for all accepted workshops and SRS.

  • Workshop Website and CFP published by the workshop organizers: July 21, 2025
  • Submission site open (latest by): September 1, 2025
  • Full Paper submissions (latest by): October 10, 2025
  • Author notifications (latest by): November 6, 2025
  • Individual Workshop Advance Program published (latest by): November 10, 2025
  • Camera-ready version (firm deadline): November 14, 2025
  • Conference dates: December 17-20, 2025

Q9. How many presentations may a workshop include, and what are the guidelines?

Half-day proposals may include three to four presenters. One of the authors of each workshop paper (preferably the presenting author) should REGISTER before submitting the CAMERA READY version of their paper to avoid ‘no-shows’ of speakers during the workshop. This should be noted in the workshop CFP.

Q10. Should everyone register? Or do workshop presenters receive complimentary conference registration?

Yes, all attendees including organizers, paper presenters, and invited speakers must have a valid registration.

The only exception is HiPC Trust’s policy to provide ONE COMPLIMENTARY registration (for one keynote or one invited speaker only) per workshop.

Q11. What about the requirement to obtain a VISA?

If any of the speakers or organizers need an India travel visa please let the HiPC committee know well in advance (preferably by September 30). Further details will be posted on the HiPC Website.

Q12. What are the guidelines for the workshop paper review process?

The Program Committee for each individual workshop must be established and published online by July 31. All submitted papers must undergo peer review by at least three reviewers.

Authors of papers submitted to the main conference will have the option to forward their rejected or marginally rejected papers to a workshop. A mechanism to facilitate this transfer is in place.

Q13. Will network access be available when the workshop is presented?

Workshop submissions must indicate if hands-on exercises are essential for their session. Generally, the entire conference area will have open access Wi-Fi. However, if the presenters need a dedicated high-bandwidth connection, they should contact the workshop organizers in advance.

Q14. What are the start, end, and break times?

Workshops should be scheduled in either morning or afternoon 4-hour time slots, with a 30-minute refreshment break included. Sessions typically begin at 8:30 AM and conclude by 6:30 PM, with a 1-hour lunch break between morning and afternoon slots. Workshop organizers are requested to inform the HiPC organizing committee of their slot preferences by mid-October, to allow sufficient time for logistical arrangements and event planning.

HiPC strongly encourages workshop organizers to finalize and publish their program schedules by mid-November. If invited speakers are to be arranged, having the schedule in place early will help the HiPC team coordinate speaker availability more effectively.

Q15. What kind of help is available to address the publicity issue for the workshops?

HiPC will periodically do a consolidated publicity of all the workshops, however, workshop organizers are expected to actively publicize their CFPs in their networks and mailing lists for more targeted publicity.

Q16. Where are the Workshop Proceedings?

Accepted papers presented in the HiPC 2025 workshops will be published in the Workshops volume of the conference proceedings, identified by a separate ISBN (HiPCW 2025). After the conference, eligible papers will be submitted for inclusion in the IEEE Xplore Digital Library.

HiPC 2025 is the 32nd edition of the IEEE International Conference on High Performance Computing, Data, and Analytics. It will be an in-person event in Hyderabad, India, from December 17 to December 20, 2025
